Every reminder comes from your practice, addressed to the person who actually sends the documents, listing only what that client still owes. Nothing in it mentions Velune.

That matters more than it sounds. A reminder that reads as automated is one your clients start ignoring, and one you quietly stop trusting. This is the part we will want your opinion on before anything goes live.

Two ways in, so nobody is left out

Clients do not all work the same way, and a system only one half of them will use is not worth installing.

The upload link is the tidiest route. It opens in one click for anyone already signed into a Google account, which is most people with a Gmail address.

The email route asks nothing at all. Each client gets an address that belongs to your practice, and they send documents the way they always have. Whatever arrives gets filed under that client automatically.

Between the two, every client is covered, including the one who will never learn a new system.

Your client list stays private

An upload form that asks a client to pick their name from a list shows every client of your practice to every other client. For an accounting firm that is a confidentiality problem, not a design detail.

Each client's link carries a private reference code instead. They never see a name, including their own competitors'.

Questions

The things practitioners ask first

Do my clients have to install anything?
No. They click a link or send an email. There is nothing to download, no account to open with your practice, and nothing for them to pay.
Who owns it once it is built?
You do. It sits inside your own Google Workspace, under your practice's name, and it keeps running whether or not you ever work with Velune again. There is no Velune account in the middle of it.
Does it touch my accounting software?
No. Xero, Sage, QuickBooks, Pastel and Draftworx are all untouched. Month-End Ready sits in front of them and hands you a complete, correctly named folder of documents to work from.
What happens to the client who ignores everything?
The tracker keeps showing them as outstanding and the Monday summary separates them out for a phone call. No system can make a client respond. What changes is that you find out on the 5th instead of the 20th, while there is still time to do something about it.
How long does it take to set up?
About a week. Most of that is us building and testing in the background. The time it asks of you is the first call, a short list of your clients and the documents each one owes, and a handover call at the end.
What if my practice does things differently?
Most do. The document types, the reminder timing, the folder structure and which clients owe what are all set up around your practice. If something about your month-end does not fit the shape above, raise it on the call and we will tell you whether we can build for it.
